Does this sound familiar?
Your business moved forward.
Your books fell behind.
It happens when you’re busy running a business. You may be getting ready for tax season, changing bookkeepers, applying for financing, or simply trying to understand where things stand.
You have months to catch up on
Transactions haven’t been recorded or classified, statements have piled up, or your bank feed is connected but accounts haven’t been reconciled.
The numbers don’t add up
You’re seeing duplicates, unexplained balances, mixed personal and business spending, or old invoices and bills that still appear outstanding.
We support U.S. small businesses, including real-estate, eCommerce, and professional-service businesses. We’ll discuss your software, accounts, and reporting needs before confirming fit.
Scope and deliverables
What our bookkeeping cleanup services include
Your proposal confirms the work for the agreed accounts and periods. Depending on the scope and available records, it can include:
Records matched to statements
Bank and credit-card reconciliations for the agreed periods, with differences investigated and questions flagged.
Corrections you can follow
Reviewed classifications, duplicate or missing transactions addressed, and significant adjustments documented.
A clearer view of your books
Updated financial reports for you and your U.S. CPA or Enrolled Agent to review.
Open questions and next steps
A list of unresolved items, missing documents, and recommended follow-up. You’ll know what still needs attention.
Loan accounts, receivables, payables, and other balances are reviewed where included in your agreed scope. We don’t force balances to zero or fill gaps with unsupported entries.
How we work
From the first conversation to the handoff
Talk through the backlog
Tell us which periods are behind, what concerns you, and whether you’re working toward a deadline. We’ll explain what information we need to assess the work.
Review the records and agree on a plan
We assess the file and look for a reliable opening point using statements, prior reports, and available supporting records. You approve the scope, deliverables, timing, and fee before cleanup begins.
Reconcile, correct, and ask questions
We match activity to source records, investigate differences, and document significant corrections. Material, unusual, or unsupported items go to you or your accountant for input.
Review the results and choose what’s next
We hand over the agreed reports and outstanding questions, then discuss a routine to keep the books current. You can continue in-house or arrange separate monthly support.
Pricing and timing
How much does QuickBooks cleanup cost?
Your cleanup quote depends on the backlog, transaction volume, accounts, file condition, and available records. Cleanup is priced separately from monthly bookkeeping. We review the following before proposing a fee and expected timeline:
What shapes the quote
- Months or years to be covered
- Transaction volume and number of accounts
- The condition of the accounting file
- Available statements and supporting documents
- Your deadline and the purpose of the cleanup
What to bring to the first call
- Your business type and accounting software
- Roughly how far behind the books are
- The number of bank, credit-card, and loan accounts
- Any missing records you already know about
- Your target deadline and main concerns
You don’t need to fix the books before speaking with us. A rough picture of the situation is enough to start the conversation.
Where the engagement ends
Cleanup is a separate piece of work.
Monthly bookkeeping is optional
You can hire us for cleanup only. Ongoing bookkeeping has its own scope and fee, and you decide whether you want it afterward.
Explore monthly bookkeeping →U.S. tax decisions stay with your tax professional
This engagement covers bookkeeping records and documentation. It does not include preparing or filing a U.S. tax return or deciding tax positions. We coordinate with your U.S. CPA or Enrolled Agent when their judgment is needed.
Cleanup does not guarantee the correctness of a tax return. Missing source documents or opening balances may limit what we can resolve; those limitations are discussed and documented.
In our client’s words
Less stress around the books.
Kim’s feedback on working with our team.

“I never have to worry if things are getting done—and done right! I have so much less stress handing this part of my business off to them, and I’m grateful.”

A few common questions
Questions about QuickBooks cleanup and catch-up
Can you clean up my existing QuickBooks Online file?
We can review your existing QuickBooks Online file, reconcile the agreed accounts, and address supported corrections within the agreed scope. We first assess the opening balances, prior work, and available records. Changes affecting previously filed periods are discussed with your U.S. tax professional where their input is needed.
Can you help if I am six to twelve months behind?
We can assess a six- to twelve-month backlog and propose catch-up bookkeeping for the agreed periods. Timing depends on transaction volume, account complexity, and the records available. Tell us your deadline before work is scoped.
What’s the difference between cleanup and catch-up?
Catch-up brings overdue bookkeeping up to date. Cleanup addresses errors, inconsistencies, and unexplained balances in existing records. Your engagement may involve both; we’ll specify that in the proposal.
Can you work on several years of books?
Potentially. We first check whether reliable statements and opening information are available and whether the requested work fits your business purpose. We’ll explain any limitations before you commit.
How long will the work take?
We propose a timeline after reviewing the backlog, file condition, and available records. Missing documents and unanswered questions can affect progress, so tell us about any deadline at the outset.
Will you change transactions without asking?
Routine corrections follow the agreed accounting process. Material, unusual, or unsupported items are documented and raised for your input or your accountant’s review.
What if some statements or records are missing?
Tell us what you have and what is missing. We’ll identify the records needed, discuss what can reasonably be completed, and document unresolved items rather than make unsupported assumptions.
Do I have to sign up for monthly bookkeeping?
No. Cleanup is a separately scoped engagement. Monthly bookkeeping is available only if you want it, under a separate agreement.
