QuickBooks cleanup cost depends on the records that need reviewing and correcting: the periods covered, transaction volume, number of accounts, condition of the file and availability of supporting documents. At Bookkeeping Accountant, we quote cleanup after reviewing the work. A free discovery call starts that conversation; it is not a promise of a fixed price before the file is assessed.

If you are comparing quotes, the most useful question is: what will be completed for this fee? Two proposals described as “a year of cleanup” may cover very different accounts and deliverables.

What are you paying a cleanup bookkeeper to do?

A cleanup engagement may involve investigating incorrect balances, identifying missing or duplicate transactions, correcting classifications and reconciling records to statements. Catch-up work may also be needed when entire periods have not been recorded.

The proposal should identify the actual work. Entering bank transactions alone is a different scope from reviewing customer balances, supplier bills, loans and processor payouts as well.

Six factors that shape a cleanup quote

1. Months or years covered

More periods can mean more statements and activity to review. But twelve relatively straightforward months do not automatically require more work than six months with complicated or unreliable records. The starting point matters too.

2. Transaction volume

Give the provider an approximate monthly transaction count across all relevant accounts. A rough estimate is useful initially. Explain seasonal peaks and whether activity includes many transfers, refunds, split transactions or customer payments.

3. Accounts and systems involved

List bank accounts, credit cards, loans and payment processors, including accounts closed during the cleanup period. A deposit from a processor may need to be understood alongside its sales, refunds and fees. Multiple entities or currencies should be disclosed before the work is priced.

4. Condition of the QuickBooks file

A file with reliable opening information and consistent classifications presents a different task from one with duplicate imports or unexplained balances. Tell the provider whether earlier reconciliations or accountant adjustments exist, and whether you know of changes to previously completed periods.

5. Available documents and owner responses

Missing statements and unanswered questions can interrupt progress. A clear record set and one responsive contact person help the provider assess and perform the work. A quote should state assumptions about what you will supply.

6. Deadline and requested deliverables

Explain whether you need the records for management review, your tax professional or another specific purpose. Ask whether the deadline is realistic and whether it changes the fee or scope. Do not assume urgency can overcome missing evidence.

Why two businesses with the same backlog receive different quotes

Consider two hypothetical businesses, each eight months behind. Business A has one bank account, one credit card and complete statements. Business B has several accounts, processor payouts, mixed personal spending and duplicate entries.

Both need eight months addressed, but Business B requires more investigation. This example is not a pricing estimate; it illustrates why the condition and complexity of the work matter alongside the calendar.

Compare hourly, fixed and staged proposals

  • Hourly: Ask for the rate, estimated hours, update frequency and approval threshold before hours exceed the estimate. An hourly rate by itself does not tell you the total cost.
  • Fixed project fee: Ask exactly which accounts, periods and deliverables are included, plus the process for approving additional work.
  • Staged engagement: Ask what an initial review delivers, whether it has a separate fee, and what must happen before the remaining cleanup is priced or started.

These are ways to evaluate proposals generally, not a promise that every provider offers every model. Choose an arrangement with clear responsibilities and a change-approval process.

Seven questions to ask before accepting a quote

  1. Which accounts and periods does the price cover?
  2. Does it include catch-up entries, corrections and reconciliations?
  3. Which financial reports and supporting records will I receive?
  4. What is excluded, including tax returns, payroll corrections or other specialist work?
  5. What documents and answers do you need from me?
  6. How are additional work, delays and fee changes approved?
  7. Is monthly bookkeeping optional and priced separately?

A low quote is not automatically poor value, and a higher quote is not automatically better. Compare the same scope, relevant experience and review process. Avoid treating “everything included” as a substitute for a written description.

How to prepare for a more useful estimate

Have your business type, software, overdue date range, account list and approximate transaction volume ready. Mention missing records, known errors and your target deadline. You do not need to send confidential statements through a public form just to explain the problem; agree on a suitable document-sharing process.

For the work BA can assess, review our cleanup and catch-up service scope. Historical cleanup is separately scoped, with monthly support optional afterward.

Common pricing questions

Can I get a price based only on my annual revenue?

Revenue alone does not show the number of accounts, transactions or corrections involved. It can provide context, but the records and requested scope are needed for a meaningful assessment.

Is US tax preparation included in BA’s cleanup quote?

No. This cleanup engagement covers bookkeeping records and documentation. Tax-return preparation, filing and tax-position decisions are outside that scope. Questions requiring tax judgment should go to your US CPA or Enrolled Agent.

Can I request cleanup without ongoing monthly service?

Yes. BA offers separately scoped cleanup. You can decide afterward whether to arrange monthly bookkeeping under its own agreement.
